Position Summary:

The Operations Support Project Manager coordinates projects from initial request through implementation and closeout. This role helps define project scope, timelines, resource needs, risks, deliverables, and measures of success; maintains visibility into progress; and supports the timely completion of assigned projects.


The Operations Support Project Manager works with leaders and partner departments to coordinate activities, follow up on commitments, identify dependencies, and keep projects moving. The role is primarily an individual contributor and works through collaboration and influence rather than organizational authority.

 

Essential Duties and Responsibilities

Responsibilities may include but are not limited to:

  • Coordinate the intake of project requests and gather the requirements, priorities, dependencies, and expected outcomes needed for review.
  • Work with project sponsors and leaders to clarify priorities, timelines, responsibilities, and resource needs.
  • Develop and maintain project plans that outline scope, objectives, milestones, deadlines, responsibilities, deliverables, and measures of success.
  • Provide input into the prioritization and resource allocation of projects within the assigned portfolio, based on capacity, risk, and strategic alignment.
  • Coordinate assigned projects from initiation through closeout and support the completion of agreed-upon deliverables.
  • Work cross-functionally and across departments, including Operations, Finance, Human Resources, Information Technology, Safety and Quality, Supply Chain, Sales, and other partner teams as needed.
  • Coordinate project teams composed of contributors from multiple departments by clarifying responsibilities, tracking deliverables and due dates, and escalating unresolved issues through the appropriate leaders.
  • Track project progress and follow up with responsible stakeholders regarding open actions, deadlines, risks, delays, and changes in scope.
  • Maintain project schedules, action plans, status reports, meeting notes, decision logs, and supporting documentation.
  • Maintain project risk and issue logs, identify potential barriers, and resolve routine risks, resource conflicts, and scheduling conflicts directly with stakeholders; support mitigation planning and escalate only items requiring leadership decision-making or cross-divisional resource commitments.
  • Develop and maintain dashboards, trackers, scorecards, and other tools that provide visibility into project status, activity, results, and outstanding actions.
  • Review project data to identify trends, recurring challenges, performance gaps, and opportunities for improvement.
  • Recommend changes to project-management standards, templates, and governance practices based on observed performance trends, for adoption across assigned projects and, where appropriate, more broadly within Operations.
  • Serve as the primary point of contact for assigned projects, providing leaders and project sponsors with analysis, risk assessments, and recommendations that inform go/no-go, resourcing, and prioritization decisions, and clearly identifying decisions or support needed.
  • Confirm that required project information, deliverables, approvals, and supporting documentation are provided by responsible stakeholders.
  • Apply project-management processes, templates, reporting standards, and documentation consistently, adapting them where project scope, risk, or complexity warrants a different approach.
  • Lead project kickoffs, working sessions, status meetings, leadership reviews, and project closeout discussions.
  • Lead continuous improvement activities from problem identification through implementation, handoff, and follow-up.
  • Support change implementation by coordinating stakeholder communication, readiness activities, training support, and adoption tracking, as appropriate for the project.
  • Track project expenses and vendor coordination; approve vendor invoices, change orders, and project-related expenditures up to an assigned dollar threshold, escalating amounts above that threshold for leadership approval.
  • Coordinate the day-to-day project activities of assigned project resources, including project coordinators or analysts, where applicable.
  • Perform other duties and support additional projects as assigned by management.

  • Ability to develop dashboards, trackers, scorecards, status reports, and leadership presentations.

  • Ability to identify risks, delays, dependencies, and performance gaps and escalate them appropriately.
  • Ability to coordinate cross-functional teams, influence stakeholders, follow up on commitments, and escalate unresolved issues without direct supervisory authority.
  • Strong critical-thinking, problem-solving, and decision-support skills.
  • Ability to build alignment and synergy across various groups, converting competing priorities into one execution plan.
  • Working knowledge of project-management methods, including waterfall, Agile, Lean, or continuous improvement.
  • Change-management and stakeholder-engagement skill, including communication planning, training, and adoption tracking.
  • Budget, vendor, and resource-management capability.
  • Ability to facilitate project meetings and communicate project status, risks, and resource needs to regional leadership.

 

Educational Qualifications/Job Experience Requirements

  • Bachelor's degree in business, operations management, engineering, or a related field; equivalent experience considered
  • 3-5 years of project management experience leading cross-functional initiatives; multi-site facility services or high-volume service industry strongly preferred
  • PMP, CAPM, or Lean Six Sigma certification preferred
  • Demonstrated experience managing project budgets, vendors, and matrixed teams
  • English proficiency, bilingual (English/Spanish) preferred

 

Working Conditions/Physical Requirements

Schedule:

  • Regular weekly schedule: weekends or holidays as needed.

  • Primarily sedentary work: extended periods of sitting and computer use, including repetitive hand and wrist motions for keyboard and mouse operation.
  • During site visits, ability to walk and stand for extended periods, navigate facilities including stairs and uneven surfaces, and occasionally lift and carry up to 20 lbs.
  • Ability to communicate effectively in person and through telephone and virtual meeting platforms.
  • Vision requirements include close vision, distance vision, moderate peripheral vision, depth perception and ability to adjust focus

 

Environment:

  • Professional office environment with controlled temperature, lighting, and noise levels; standard office equipment including computer, phone, and video-conference technology
  • Occasional travel to client sites and company facilities, where conditions may include varying temperatures and noise levels and active service operations
  • Standard business hours, with flexibility to accommodate meetings across multiple time zones
  • The role requires managing competing priorities and time-sensitive deadlines.

 

Travel: Up to 30%
