Position Summary
The Manager, Compliance & Risk will lead audit, risk management, and process automation work to support KBS Legal, Safety, Risk, and Compliance teams. This position is a multi-dimensional role that requires extensive leadership, management, decision-making, and data analysis skills. The position’s primary objectives are to lead and manage audit and compliance processes that manage and mitigate risk. In the beginning, the role will focus on supply chain and subcontractor risk, primarily in California, but the scope will expand as the Manager, Compliance & Risk is onboarded and builds a team.
Initial work will include designing and building a subcontractor audit process in partnership with KBS IT, facilitating record requests and audits; coordinating with internal team members and subcontractors, conducting outreach to subcontractors, collecting and analyzing audit data, summarizing and reporting audit details to leadership, developing process improvements; facilitating and coordinating subcontract terminations if applicable; and acting as a liaison with cross-functional teams.
As a manager, you will train, develop, and lead support staff.
Salary: $110-$130k per year
Essential Duties and Responsibilities
- Actively lead and oversee audit and compliance workflows, with an initial focus on subcontractors in California.
- Design and build audit and risk mitigation workflows with a focus on automation and system integration.
- Anticipates risk and develops proactive measures to identify and mitigate risks based on audit results, compliance requirements, and industry knowledge.
- Manage the training and development of compliance team to ensure their performance is focused on audits, compliance, and related legal obligations.
- Engages regularly with KBS subcontractors; develops communications and information for subcontractors regarding audit and compliance requirements.
- Assesses current processes on a frequent basis to identify process improvement opportunities
- Design and track mitigation plans and key risk indicators, and escalate emerging or unmitigated risks to leadership.
- Design and implement automated workflows, alerts, and escalations, such as records requests, missed-deadline notices, obligation tracking, and corrective-action follow-up, primarily in Netsuite, Salesforce, Agiloft, Microsoft 365, and reporting databases.
- Improves processes and documents procedures based on collection of metrics, feedback from team members, and approval from department or company leadership
- Evaluate AI and document-extraction tools for compliance review, and partner with IT on requirements, security review, testing, and deployment under KBS change-management and data-security standards.
- Develops or revises training documentation such as process flowcharts, guidance documents, and procedure manuals.
- Develops reporting for senior leadership, and to assist team with tracking workload and status of ongoing audits and record collection
- Sets up cross-functional meetings to facilitate the resolution of issues, mitigate risk, or discuss ways to solve problems and improve processes

QUALIFICATIONS
- Process engineering and database skills
- Experience with compliance, risk management, audits, insurance, legal, or payroll
- Facilities Maintenance industry experience is a plus
- Demonstrates effective leadership, management, and critical thinking skills
- Demonstrates excellent interpersonal, listening, and conflict management skills
- Ability to follow appropriate safety guidelines
- Demonstrates ability to be flexible, prioritize tasks and responsibilities and complete duties and projects within allotted time
- Able to respond to change productively and to handle additional tasks and projects as assigned
- Through actions and example, ensures that KBS values are fully incorporated into company customer and vendor interactions
EXPERIENCE REQUIRED
- 7+ years' experience in risk management focused on payroll or subcontractor compliance procedures, with at least 3 years' experience in California
- Experience planning and leading risk-based audits, from scoping and testing through findings and corrective action tracking.
- A track record of designing and implementing workflow automation or process redesign that measurably reduced manual effort.
EDUCATION
- High School Diploma, General Education Degree, or equivalent; Bachelor's degree in a relevant field is a plus
LANGUAGE SKILLS
- Bilingual English/Spanish preferred
- Must be able to read and interpret documents, such as letters, email communication, contracts, instructions and procedure manuals in written or diagram form
- Must be able to write detailed and summary reports
MATHEMATICAL SKILLS
- Must be able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Must be able to apply mathematical concepts to practical solutions
- Must be able to analyze statistical reports
REASONING ABILITY
- Ability to apply common sense understanding to carry out instructions.
- Ability to deal with standardized situations with only occasional or no variable
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
TECHNICAL SKILLS
- Experience using software specifically for compliance, risk management, audits, or payroll functions.
- Experience using Microsoft Office programs including Word, Excel, PowerPoint and Outlook, with an emphasis on Excel (VLOOKUP, Pivot Tables, Graphs, etc.).
